Logistical Information

To help ensure a smooth and comfortable journey — and to help you arrive in Rovaniemi well-prepared and refreshed — we have compiled the following practical travel information and guidelines.

We encourage participants to review the details below when planning their trip.

How to Travel to Rovaniemi 

Rovaniemi is located in northern Finland, on the Arctic Circle. Most international participants travel via Helsinki.


Step 1: Arrival in Helsinki (HEL)

The main international gateway to Finland is Helsinki Airport (HEL).

There are direct long-haul connections between Helsinki and several major international hubs, including cities in China, Japan, and South Korea. Helsinki Airport is modern, compact, and easy to navigate, with clear English signage throughout.

Estimated total travel times (including connection to Rovaniemi):

  • From Sapporo: approx. 13–18 hours

  • From Seoul: approx. 12–15 hours

  • From Beijing: approx. 12–16 hours

(Travel times vary depending on airline schedules and connection times in Helsinki.)


Step 2: Helsinki to Rovaniemi

From Helsinki, there are two main options:

Option A: Domestic Flight (Recommended)

  • Duration: approx. 1 hour 20 minutes

  • Multiple daily departures

  • Easy transfer within Helsinki Airport

This is the fastest and most convenient option after a long-haul flight.

Option B: Overnight Train operated by VR

  • Duration: approx. 12 hours

  • Private sleeper cabins available

  • Comfortable alternative with scenic views

The railway station in Rovaniemi is located within walking distance of the city centre.


Arrival in Rovaniemi

Rovaniemi Airport (RVN) is located approximately 10 km from the city centre.

Host-Organised Airport Transfers
The conference host will provide bus airport transfers between Rovaniemi Airport and designated conference hotels on:

  • 7 September 2026 (arrival day)

  • 10 September 2026 (departure day)

More detailed transfer schedules will be provided closer to the event.

Alternative Transportation Options

  • Airport bus service to the city centre

  • Taxi services available outside the terminal

  • Transfer time: approximately 15–20 minutes

Participants arriving outside the official transfer dates are kindly requested to arrange their own transportation.


Visa and Schengen Information

Finland is part of the Schengen Area.

Participants travelling from some countries may require a Schengen visa to enter Finland.

Participants are responsible for checking the visa requirements applicable to their nationality and for applying well in advance. More information and instructions can be found through this link.

If you require an official invitation letter for visa purposes or any other special arrangements related to your travel, you are kindly requested to complete your registration no later than 31 May 2026.

Please indicate in the registration form if you require an official invitation letter. The conference organisers will provide the necessary supporting documentation upon request.


How to Move Around in Rovaniemi

Rovaniemi is compact and easy to navigate.

Walking
Most conference hotels, restaurants, and central services are within walking distance.

Local Buses (Linkkari)
Local buses connect the airport, city centre, and surrounding areas. Tickets can be purchased via mobile app or directly from the driver.

Taxi
Taxis are reliable and widely available. Most drivers speak English.


Arrival Recommendation

As the conference begins in the morning of 8 September 2026, we recommend arriving in Rovaniemi on 7 September.

When planning your itinerary from distant destinations, please allow sufficient connection time in Helsinki in case of long-haul delays.

Typical daytime temperatures: 8–15°C
Evenings can be cooler.
